Requests for booth power, advance warehousing, booth rental items, installation and dismantle labour, display and display / graphic orders can all be made by emailing sales@eventexrentals.com.
Material Handling / Shipping
The Delta Hotels St. John’s Conference Centre does not handle exhibitor goods/shipments. As such, CAIR is working with Eventex Rentals for material handling. Shipments are to be sent directly to Eventex Rentals to store and handle as per the exhibitor information provided.
Please contact sales@eventexrentals.com to coordinate your material handling needs. Please include your company name and booth number (if available) in the email and reference “CAIR 2026 ASM Exhibitor” in your subject line.
Advance Warehouse/Material Handling: Ship your display and items to the Eventex warehouse between April 20, 2026 – May 15, 2026. Your items will be delivered directly to your booth on set up day. Material handling costs are the responsibility of the exhibitor. Deadline order date to qualify for pre-show prices is May 14, 2026. All orders processed after the deadline date will be considered late orders and a 30% late order surcharge will apply.
Eventex Rentals may track the shipments as well – but it is always best you track your shipments for the most updated information.
• # of boxes
• Shipping company
• Tracking number
• Estimated delivery date
If more than one shipment, advise Eventex Rentals of each shipment to ensure everything will be at your booth for set up without delay.
*Note that if you do not provide this information, we cannot assist you onsite if any problem occurs with your shipment.
SHIPPING
For those who will be shipping material directly to the event, please use the CAIR 2026 ASM Shipping Label to send your box(es)*. Please note shipments cannot be sent to Delta Hotels St. John’s Conference Centre more than 5 days in advance of the meeting. All advance shipments must be sent to Eventex Rentals. Guests “hand carrying” goods with them are responsible for loading them from/to their vehicle to exhibit.
Remember to bring your own return shipment labels and waybills; CAIR and Eventex Rentals cannot provide these items for you onsite.
Please note that, due to space limitations, the booth size at this venue is 10’W x 6’D. Each booth will include 1 6′ table and 2 chairs. We understand this booth size is a change from previous years, and appreciate your cooperation in setting booth materials/equipment that can be accommodated within the booth dimensions. Ideally, booths will be set as table-top displays, and the use of larger, pop-up booth installations is discouraged this year. Please also ensure the booth personnel attending the event are aware of these specifications to help manage their expectations.
BOOTH SPECIFICATION
Each exhibitor booth is 6′ L by 10′ W space consists of the following:
- 8′ high black draped back wall and 3′ high black draped sidewalls.
- One (1) 6′ black skirted table with white vinyl top and skirted on all 3 sides.
- Two (2) chairs.

In the event of fire, flooding, or theft, no matter how caused, CAIR and Delta Hotels St. John’s Conference Centre and their representatives assume no liability for any bodily harm or material damage to products, booths, equipment, or decorations occupying any rented space within the building or being moved in or out of the building.
